Adding Entries to Timesheets

Using timesheets on Trade Trak can help to minimise the headache for those in charge of admin. Times can be entered by each user for jobs or non-job related items such as TAFE or leave.

Note: In order for timesheet entries to appear in job expenses, you must enter each individual user's hourly rate into the app. This can be done here, by editing a user.

Accessing Timesheets

To access timesheets on Trade Trak, click on your icon or name in the top right corner of the navigation bar.

From the dropdown menu, select ‘Timesheets’, then select 'Timesheet'.

Viewing Timesheets

On this page, you’ll be able to see all of your timesheet entries which are chronologically ordered by day of the week.

At the top of the page, you will see the date range for that week.
You can press the ‘<’ button to access the past week if you need to add to it or update it at any time, or press ‘>’ to go forward a week.

Adding to the Timesheet

To add to the timesheet, press ‘Add Item’ on the day of the week that you would like to add an entry for.

When you add a timesheet entry, you have two options for what you enter hours for. There are a number of details that are required for entry, and all mandatory fields are marked with an asterisk.

1) Job

Enter hours which are related to work completed on jobs.

Job *

Select from a drop-down menu which job you would like to apply your hours to.

Start Time

Add what time you started work on that job.

End Time

Add what time you finished work on that job.

Base Hours *

Enter the number of hours that you worked on the job. If you have entered a start and end time, this will autofill.

Overtime Hours

Enter the number of hours that you worked overtime on the job.

Add any notes to add more detail to your timesheet entry.

Files

Drag or upload any files that are needed to add more detail to your timesheet entry.

Enter

Press ‘Enter’ once done.

2) Non-Job

Enter hours for non-job related items.

Activity *

Select from a drop-down menu which non-job activity you were completing for this entry.

Start Time

Add what time you started work on that activity.

End Time

Add what time you finished work on that activity.

Base Hours *

Enter the number of hours that you worked on the job. If you have entered a start and end time, this will autofill.

Overtime Hours

Enter the number of hours that you worked overtime on the job.

Add any notes to add more detail to your timesheet entry.

Files

Drag or upload any files that are needed to add more detail to your timesheet entry.

Enter

Press ‘Enter’ once done.

Delete and Edit

Once you have added your timesheet entry, you will see the job name under the relevant day.
Next to this, there is a trashcan which will delete the entry if need be.
On this same line, there is also an ‘Edit’ button, should you need to change any details about the entry.

Submit

After entering all of your hours for your week, you will need to press ‘Submit’ at the bottom of the page to send them off for approval.

A pop-up will then appear, and you will need to confirm that you wish to submit your timesheet.

Timesheet Expenses

In order for a timesheet entry to be added as a job expense, an admin must first approve the submission.

You can find your expenses by clicking on the job you would like to view, and from the left-hand side navigation bar, selecting Timesheets.

All timesheet expenses will be shown on this page.
