Data Management
Please note that this feature is only available for users with super admin access.
On Trade Trak, you’re able to import and export certain data. This can help you with setting up your account, or if you need to have data off the account for whatever reason - it’s yours to keep.
All exports are sent directly to your email and are formatted differently depending on which type of data you chose.
Accessing Data Management
To access Data Management on Trade Trak, press on your icon or name in the top right corner of your navigation bar.
From the drop-down menu, select Company Settings, then from the new drop-down menu, click on Data Management.
Data Imports
There are two types of data that you can import onto Trade Trak.
Options:
- Clients
- Suppliers
The file that you upload must be in a CSV format.
Please also ensure that there are no letters, spaces, brackets or symbols in number fields - the file will be rejected.
Data Exports
There are a number of features on Trade Trak that you can export the data from, including:
- Users
- Teams
- Clients
- Suppliers
- Contacts
- Jobs
- Quotes
- Purchase Orders
- Material Orders
- Invoices
- Expenses
- Tasks
- Job Sign Ons
For each feature, you’re able to add information to narrow the results for the export.
This can include details such as date ranges, jobs, suppliers and statuses.
If you would like all of the data for that feature, leave these fields blank.
Once you have selected the data type and entered information as needed, click on Export Data.
The data will be sent to your email address.
Accounting Exports
Note: Both accounting software exports are currently in Beta.
First select which accounting software you would like to export the data for. Your selection will affect how the data is formatted to make it simpler to import into your software.
Options:
- MYOB (beta)
- Xero (beta)
Then, select the data type you would like to export.
Options:
- Expenses
- Invoices
- Clients
- Suppliers
As above, you may wish to enter data into the filters to refine results for the export.
Once you have made your selection for accounting software and data type, press Export Data
Job Profitability
You can also use Data Management to help track your job profitability.
First, select your client from the drop-down menu.
Then, select the status of the jobs you would like to track.
Finally, click Request Report, and once it has been compiled, the report will be sent to your email address.
Importing Jobs from Simpro
If you have a current account with the job management platform Simpro, you can now export all your data from there across to Trade Trak.
First, fill in your current Simpro API URL, Simpro API key & Simpro Company ID.
Then, click Schedule Import to transfer all your data to Trade Trak.
The items from Simpro that can be imported to Trade Trak are:
- Job information
- Job files (including Invoice PDFs)
- Job notes
- Quotes (These will be imported as Trade Trak jobs)
