Trade Trak supports the exporting of data into a MYOB specific csv format for easy importing into MYOB AccountRight.
The video below shows the full end-to-end process of configuring Trade Trak to suit your MYOB Sales GL account, the exporting of clients and invoices from Trade Trak, and the importing of this data into MYOB AccountRight.
Additionally, the help guide below has detailed instructions and screenshots for:
- Setting up your MYOB Sales GL Account Number.
- Exporting Trade Trak Clients (MYOB Customer Cards)
- Exporting Trade Trak Invoices (MYOB Sales / Service Sales)
- Importing Trade Trak Clients into MYOB
- Importing Trade Trak Invoices into MYOB
Set up MYOB Sales GL Account Number
Before starting any import process into MYOB, you must set a GL account code in Trade Trak to reflect what sales code you would like the invoices to be assigned to. This may be something like "4-1600". At this stage, Trade Trak only supports one GL code for exports. If you require two codes (e.g. one for materials and one for labour), you will need to manually edit imported invoices in MYOB.
To set your GL account code:
- Press your name at the top right of the app to open the navigation menu.
- Press Company Settings
- Press Integrations
- Under MYOB Invoicing Account Number, set your GL code for sales.
- Press Save.
Export Trade Trak Clients (MYOB Customer Cards)
For invoices to be created in MYOB via the import function, a customer card must exist. If you have all your MYOB customers in Trade Trak and vice-versa, this step will not apply. However, if required, you can export all clients from Trade Trak and import into MYOB. Please be aware that this step does not check for duplicates. It is only recommended if you do not have your Trade Trak customers set up in MYOB.
To export Trade Trak clients in a MYOB AccountRight ready format, access the Data Management section, by:
- Press your name at the top right of the app to open the navigation menu.
- Press Company Settings
- Press Data Management
When in data management, scroll to the "Accounting Exports" section, ensure "MYOB" is selected, then select Clients and press Export Data. This will email you a copy of the csv file with all your clients in the MYOB format.
Exporting Trade Trak Invoices (MYOB Sales / Service Sales)
You can quickly export your invoices from Trade Trak into a MYOB AccountRight friendly format.
To export Trade Trak invoices in a MYOB AccountRight ready format, access the Data Management section, by:
- Press your name at the top right of the app to open the navigation menu.
- Press Company Settings
- Press Data Management
When in data management, scroll to the "Accounting Exports" section, ensure "MYOB" is selected and then select Invoices and press Export Data.
Once Invoices has been selected, you will see some additional options appear:
- Created date range (start to end)
- Invoice status
- Job
This allows you to filter what invoices you are exporting from the system.
We recommend exporting on a recurring and consistent period so that no invoices are missed or duplicated. For example, you may:
- Export invoices daily, for the previous business day
- Export invoices weekly, for the previous week
- Export invoices monthly, for the previous month.
Once you have entered your date range, press Export Data. You will then receive an email with the csv file ready for import into MYOB.
